The Asia Pro Bono Conference Registration and Access to Justice Exchange Ethos

Since its start, the APBC has been run on a revenue-neutral basis, meaning money generated from the Conference is used to support the Conference and much of the surplus is used to subsidize the attendance of regional "Pro Bono Champions" who could not otherwise afford to attend. Most of the persons working to organize this convening do so in a pro bono capacity, and the Consortium works very hard to, at a minimum, cover the out of pocket expenses for persons attending. When the APBC has been a physical in-person event, most persons coming worked to source their own support to attend, which has made this event “belong to all” and "supported by all".

In the past, the starting point has been that all Conference participants must pay a registration fee. This applies equally to everyone including the volunteer organizers and presenters. This is because the registration fees assist in paying for the costs of running the Conference, and there are out of pocket costs for all participants who attend the Conference. It is essential that these out of pocket costs are covered in order to ensure the sustainability of the APBC.

Conference Registration

The 14th Asia Pro Bono Conference and Access to Justice Exchange (“14APBC&A2JX”) is being held in Fukuoka, Japan, as a hybrid event. The Asia Pro Bono Conference will be held on 4-6 December 2026 and it will be preceded and followed by the Access to Justice Exchange on 2-3 and 7 December 2026.

All conference participants must register individually and complete the registration process, including the payment of any fees. For group registrations, a group organizer can complete the registration and payment on behalf of the group and must enter the details of all five participants from the same organization at the time of registration.

Registration Deadline

Registration will close on 15 November 2026, 11:59 PM (UTC+7). Please note that on-site registration will not be available.

Registration Options

Participants may choose from standard, bundle or group registration options as part of the registration process.

Cancellation and Refund: If you find yourself unable to attend the event and are not in a position to transfer your participation to another person, there is an option available for a refund for in-person participation. This can be facilitated by purchasing a refund add-on.

All cancellation and refund requests must be submitted in writing to [email protected] on or before November 3rd, 2026. Please be aware that the $40 USD processing fee for the add-on option is non-refundable. However, the remainder of your registration fee paid will be refunded to you.

Please note that no refunds will be issued for cancellations received after November 3rd, 2026.

The organizer reserves the right, at its sole discretion, to reject a registration and issue a refund.

PLEASE NOTE: To register as a student, proof of eligibility (copy of student ID) is required and must be uploaded during the registration process directly on the platform.

Visa for Japan

International participants are encouraged to check visa requirements early and plan travel well in advance. If you require a visa to enter Japan, please contact the nearest Japanese embassy or consulate in your country for guidance on the necessary documents and application process. We recommend allowing plenty of time to complete all visa arrangements before departure.

If you require a visa to enter Japan, please note the following recommended timeline to ensure sufficient time for processing:

- Participants are advised to submit their visa application to the Japanese Embassy no later than 90 days prior to travel.
- To meet this timeline, any request for an official invitation letter or supporting documents should be submitted to the Secretariat no later than 4 months before the event.
- Upon receipt of a complete request, the Secretariat will coordinate with Seinan Gakuin University to issue the required documents and will share them with you accordingly.
