Visa

International participants are encouraged to check visa requirements early and plan travel well in advance. If you require a visa to enter Japan, please contact the nearest Japanese embassy or consulate in your country for guidance on the necessary documents and application process. We recommend allowing plenty of time to complete all visa arrangements before departure.

Citizens of the following 74 countries and regions can visit Japan without a visa. Please check the list here.

Japan E-Visa Application

Japan E-Visa is available for tourism purposes only. Participants travelling to Japan for conference attendance, business, or visiting friends or family are not eligible to apply through the Japan E-Visa system.

If you do not meet the E-Visa requirements, you should apply for a visa at the Japanese Embassy or Consulate in your country of residence.

Visa Support Letter

After completing the conference registration process and paying the registration fee, you can request a visa support letter directly online. The letter will be sent within 7-10 business days in PDF format to the email address provided, If you do not receive it within 10 business days, you can email us to check the status of your request. Please note that the letter aims to assist participants who need to obtain a visa, or permission to attend the conference, and is not an official invitation letter covering fees or any other expenses.

The Conference Secretariat and Local Organizing Committee will not contact embassies and consulates on behalf of visa applicants.

 

Important Note:

If you require a visa to enter Japan, please note the following recommended timeline to ensure sufficient time for processing:

  • Participants are advised to submit their visa application to the Japanese Embassy no later than 90 days prior to travel.
  • To meet this timeline, any request for an official invitation letter or supporting documents should be submitted to the Secretariat no later than 4 months before the event.
  • Upon receipt of a complete request, the Secretariat will coordinate with Seinan Gakuin University to issue the required documents and will share them with you accordingly.

Late Requests for Visa Support Letters

Requests for invitation letters or supporting documents submitted after the above timeline may be reviewed on a case-by-case basis, subject to institutional capacity and external processing timelines. Approval and issuance of documents in such cases cannot be guaranteed.
